Privacy Statement

How we collect, use and protect your personal information.

This Privacy Statement explains how Transcend Sports Academy (“Transcend” or “we”) collects, uses, discloses, and protects personal information. We are operated by TRANSCEND SPORTS ACADEMY PTY LTD (ABN 72 697 519 547), incorporated in Sydney, Australia, and handle personal information in accordance with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).

1. Information We Collect

Information you provide — When you enquire, make a booking, or contact us, we collect: your name, email address, phone number, and preferred language. For enrolled students, we also collect: the child’s name and date of birth, any health conditions, allergies, or special needs you choose to share, and the details of one emergency contact.

Information we generate — We maintain records of your enquiries and bookings, and attendance records. For enrolled junior players, we also maintain a development profile including UTR rating, fitness assessment results, competition results, and coaching progress reports.

Information collected automatically — We collect only: one cookie to remember your language preference, and standard server logs required for website security (such as IP address and browser type). We do not use third-party advertising or tracking tools. We use a first-party, cookie-free analytics tool, described below.

2. Children’s Information

Many of our local programme students are children. We collect children’s personal information via the parent or guardian who makes the enquiry or booking, and rely on that adult’s consent as the basis for processing. Children’s information is used solely for coaching delivery, safety, and reporting progress to you.

3. How We Use Your Information

  • To respond to enquiries and arrange the programme or course you have asked about;
  • To confirm bookings, schedule sessions, and manage course delivery and attendance records;
  • To contact you regarding safety matters, schedule changes, weather cancellations, or your child’s participation;
  • To record and share development profiles and term reports for enrolled juniors;
  • To meet our legal, insurance, and safeguarding obligations.

4. Disclosure of Information

We share information only to the extent necessary to operate: with coaches and staff involved in programme delivery, and with trusted service providers (such as website hosting and email services) who are bound by confidentiality obligations and act only on our instructions. We do not sell your personal information. We may disclose information where required by law, or to protect the physical safety of a student in an emergency.

5. Storage and Retention

We store information on servers located in Australia and apply reasonable technical and administrative safeguards. As our website is accessible outside Australia, including from mainland China, information will be transferred to your location when you access it from overseas. We retain information only for as long as required for the purposes above or as required by law, after which it is deleted or de-identified.

6. Cookies

We use a single cookie to remember your language preference. We do not use advertising or analytics cookies, and we do not load Google or any other third-party tracking scripts on public-facing pages.

7. Website analytics

We use a self-hosted, privacy-friendly analytics tool to understand how our website is used, for example which pages are visited, in which language, and whether an enquiry or booking was completed. It does not use cookies, does not identify you, and does not follow you across other websites. It records only aggregated data such as page address, referring site, browser and device type, country, and event names such as “enquiry submitted”. Names, contact details and message contents are never sent to analytics. The data is stored on servers we control in Australia and is not shared with Google or any other third party.

8. Access and Correction

You have the right to request access to or correction of the personal information we hold about you or your child. Please email [email protected] and we will respond within a reasonable timeframe.

9. Marketing Communications

We send marketing communications only where you have actively opted in, and every message includes an unsubscribe option. Service notifications related to your bookings are not marketing and will be sent regardless.

10. Complaints

If you have concerns about how we handle personal information, please contact us first at [email protected] so we can address the matter promptly. If you remain unsatisfied after contacting us, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

11. Changes to This Statement

We may update this Statement from time to time. The current version and its effective date will always be published on this page.
